In this guide, I’ll show you how to import a Free Quick Access Toolbar and Ribbon file specifically designed for Project Online or Project Server. If you manage enterprise projects with either platform, this customization can make your work much easier. Plus, I’m giving this file away for free! Importing the Customization File
After downloading and saving the customization file, launch Microsoft Project Professional and connect to your Project Online or Project Server system. When finished, complete the following steps to import the Ribbon and Quick Access Toolbar customization file into your copy of Microsoft Project Professional:
- Click the “File” tab to display the Backstage.
- In the Backstage, click the “Options” tab to open the Project Options dialog.
- If you’ve added custom buttons to your Quick Access Toolbar (QAT), it’s a good idea to take a screenshot before importing the customization file. This way, you can re-add your favorite buttons afterward.
- In the Project Options dialog, click the “Customize Ribbon” tab on the left.
- In the bottom right corner, click the “Import/Export” button and select the “Import Customization File” item in the pick list.
- In the File/Open dialog, navigate to the folder where you downloaded and saved the customization file.
- Select the file named “PPM Ribbon and QAT Customizations.exportedUI” and click the “Open” button.
- In the warning dialog about replacing existing customizations you’ve made, click the “Yes” button.
- Click the “OK” button when the import is complete.
Display the Quick Access Toolbar Below the Ribbon
After importing, I recommend that you display the Quick Access Toolbar BELOW the Ribbon by completing these additional steps:
- In the upper-left corner of the Microsoft Project application window, locate the Quick Access Toolbar.
- Click the “Customize Quick Access Toolbar” button (small down arrow button) at the far right end of the QAT.
- In the menu, select the “Show Below the Ribbon” item on the menu.
Explore the New Customizations
Now that the file is imported, let’s take a look at the new features in the Ribbon:
- You’ll notice a new “Definition” tab at the top of the window. This Definition ribbon includes a set of buttons and commands that follow the six-step process I recommend for defining each new project. You’ll see buttons like “Set Project Start Date”, “Set Project Properties”, and “Display Project Summary Task”.
- There’s also a new “Microsoft PPM” tab as well. The Microsoft PPM ribbon includes commands to simplify your work with Project Online or Project Server. It includes commands like “Work Offline”, “Clean Up Cache”, and more.
- In the Quick Access Toolbar, you’ll find a variety of useful buttons, such as “New”, “Open”, “Save”, “Publish”, and “Close”, along with commands for linking and unlinking tasks, zooming the Timescale, and more.
Add Your Previous Set of Favorite Quick Access Toolbar Buttons
If you took a screenshot of your original Quick Access Toolbar, follow these steps to re-add your favorite buttons:
- Open the screenshot to reference the buttons you want to add back.
- Click the “Customize Quick Access Toolbar” button (small down arrow button) at the far right end of the toolbar and choose the “More Commands” item on the menu.
- At the top of the “Project Options” dialog, click the “Choose Commands From” pick list and select the “All Commands” item.
- Find the command you want to add (one of my favorites is the “Gantt Chart” button, for example).
- On the right side, select where you want to add the button and then click the “Add >>” button .
- Continue adding buttons until you’ve restored your original set of commands to the QAT, and then click the “OK” button.

This “hands on” self-paced eLearning course teaches the foundational knowledge required to effectively manage “process agnostic” enterprise projects using Microsoft Project with either Project Online or Microsoft Project Server. Our “keep it simple” training approach allows students to master the vital skills they need to effectively plan and manage an enterprise project using Microsoft’s PPM (Project Portfolio Management) tools.
Audience
This course is focused on the core needs of project managers, project schedulers, and project coordinators who use Microsoft Project with either Project Online or Microsoft Project Server to manage enterprise projects.
Course Pre-Requisites
Each student must have a copy of one of the following installed on his/her PC:
- Project Online Professional for Office 365
- Microsoft Project 2016 or higher
Versions of Microsoft Project earlier than the 2016 version do not qualify for this course.
